Configuring XpressCollect settings
The configuration controls on the Settings page are used to specify things such as rules for scheduled message delivery, establishing time limits for making online payments on overdue accounts, and enabling storage of select XpressCollect log activities on the facility PMS.
Things to know
Mismatched settings indicator - When two or more facilities are checked in the Selected Facilities filter and a setting is not configured the same for all of the facilities, a warning icon is displayed to indicate the mismatch.
General Settings
Time to Send Messages
You can specify the time of day when you want scheduled messages to be sent. Open the Time Picker and select one of the top of the hour time values, or manually enter a specific time of day in the text input field.
The following considerations apply to message sending times:
Specified times are based on the facility time zone.
Actual message delivery times may be later then specified times depending on the total number of messages that the system has to process and send at a given time of day.
Prevent Sunday/Holiday Notifications
Toggle these settings from Disabled to Enabled if you want scheduled overdue notification messages to be delivered the following day whenever the scheduled notification day falls on a Sunday or a designated facility holiday.
NOTE: When Prevent Holiday Notifications is enabled, the holidays to which this rule will be applied are determined by selections made in the Available and Active Holidays section.
Prevent Message for accounts below a minimum balance
Toggle the Prevent Message When Balance Below setting from Disabled to Enabled if you want to withhold notification messages for overdue accounts that fall below a threshold value. When set to Enabled, the Amount field is displayed so the minimum overdue balance needed to qualify for reminder messages can be specified.
Override Base Payment URL
This setting, which is displayed only for authorized OpenTech services personnel, is applicable to facilities that meet the following criteria:
The business has an existing, standalone license for INSOMNIAC Online.
The business uses an alternate subdomain configuration to present Online pages to their customers as an integral part of the company web site.
For organizations that meet this criteria, the base URL associated with the subdomain used for the current Online implementation must be entered in this field so facility tenants who follow XpressCollect payment links will be directed to the correct Online payment page.
Enable Manual Call Recording
This setting, which is provided for facilities that use the XpressCollect Manual Calls feature, controls call recording for outbound calls initiated from the feature. When recording functionality is enabled, the additional fields described below are also displayed:
Manual Call Text Prompt setting
The following rules apply to the text prompts displayed to personnel who initiate an outbound call via the Manual Calls feature:
If no custom text entry (null) - “Successfully initiated the phone call, you should receive a call shortly.
If custom text provided - “Successfully initiated the phone call, you should receive a call shortly. <followed by custom text entry>
Manual Call Phone Prompt setting
The following rules, which vary depending on whether call recording is enabled or disabled, apply to the audio played to prompts when an XpressCollect user initiates an outbound call via the Manual Calls feature:
Outbound call recording disabled
If no custom text entry (null) - “Please wait while we connect you.”
If custom text provided - “Please wait while we connect you. <followed by custom text entry>”
Outbound call recording enabled
If no custom text entry (null) - “Please wait while we connect you. Remember to advise the recipient that the call is being recorded.
If custom text provided - “Please wait while we connect you <followed by custom text entry>
Ledger Activity Log Settings
Select XpressCollect events can be sent to the facility property management system for storage as ledger records. The following XpressCollect events are available for ledger recording:
NOTE: The ability to record ledger events sent by XpressCollect is not supported by all property management systems. When a single facility is selected, and the PMS used by the facility does not support a given type of ledger record, the setting is disabled and cannot be enabled. If multiple facilities are selected and at least one of the facilities uses a PMS that does not support a ledger activity type, a warning icon is displayed to indicate that not all of the selected facilities support records of that type.

Available and Active Holidays
The entries listed in this section determine which holidays are considered when the Prevent Holiday Notification setting is set to Enabled.
Things to know
Custom holidays - you can use the Add Custom Holiday function to create new holidays that will be recognized by XpressCollect, only.
To activate holidays for notification prevention:
1. In the Settings page, choose the facilities you want to administer in the Select Facilities filter at the top of the page.
In the Available and Active section, the holidays administered for the facility or facilities you selected are listed in the right panel.
2. Highlight the holiday entries you want to activate for notification prevention and use the selection controls to move them to the left panel.
You can also use the Add Custom Holiday function to create additional holidays that will be recognized by XpressCollect. Any custom holidays you create in this manner will be removed from the system when they are moved from the Active holidays panel.
